We are looking for an administration superstar to support our AOD Intake and Assessment team based at Alma Road, St Kilda. Manage the client referrals process and provide high level administrative support to intake clinicians and managers.
- Handle referrals and assessment documents with a high level of professional care within the scope of the referral process.
- Manage the referrals inbox and Central Intake Voicemail, register client referrals on Mastercare, upload clinical documents in a timely manner.
- Draft letters, file documents, answer phone calls and email management.
- Ensure the completeness of referrals and request additional information from referrers as needed.
- Answer phone calls and enquiries related to referrals, liaise with stakeholders and provide treatment timeframes.
- Respond with high level of professional care to enquiries for information from clients and community members.
- Support the scheduling and maintenance of assessments, preadmission, and admission appointments for residential services.
- Accurate and timely data entry into CRM.
- Extraction of program and client data and producing tables, graphs and reports as directed to support managers with reporting requirements and analysis.
What we're looking for:
- 2+ years’ experience working within Community Services, Healthcare, AOD or Mental health sector.
- Excellent administration skills with ability to write and produce high quality notes, reports, minutes, agendas etc.
- Exceptional interpersonal and communication skills, including active listening skills and clear speaking skills, with an ability to tailor communicate style to suit the diversity of residents.
- Strong attention to detail and data entry skills.
- Ability to work in a faced paced environment and be part of a multidisciplinary team.
- IT savvy and proficient with Microsoft’s Suite of programs, including Outlook, Word, and PowerPoint and Excel.
- Ideally experience using CRMs or patient management data bases, including the ability to ensure quality, timely and accurate data entry and report extraction.
