The Finance & Payroll Officer reports to the Head of Finance and plays a key role in supporting the finance team and the wider organisation by ensuring the smooth operation of core financial processes. The role primarily focuses on payroll accounting, administration, and general ledger management, whilst also contributing to other finance activities as required.
This role is responsible for the accurate, timely, and compliant payment of wages, PAYG and superannuation and coordination of payroll processing with our outsourced payroll service provider thereby freeing up management to focus on core operations. While you will not actually be processing payroll yourself, you will be responsible for ensuring data is ‘clean’ and available for processing when required by the outsourced payroll service provider to meet fortnightly payment deadlines.
The role will be an important addition to the team and is expected to at times provide support to the Head of Finance and the Finance Team during peak periods and undertake core accounting and administration support activities for the organisation.
Payroll:
- Manage ELMO/KeyPay/Employment Hero payroll system.
- Ensure the payroll system is maintained up to date with respect to upgrades and improvements, award interpretations and pay conditions, and wages are paid correctly in compliance with Fair Work requirements.
- Ensure the payroll system integrates with accounting and other platforms with correct mapping to GL accounts, data is correctly split by location, provisions for leave liabilities are accurate and there is automation of journal entries after each pay run thereby removing the need for Excel uploads.
- Work closely with HR team and outsourced payroll service provider to ensure clean data for processing prior to the deadline for payment to staff; and ensure compliance with statutory requirements.
- Provide detailed analysis of payroll and related accounting data and maintain reconciliations for leave provisions.
- Review payroll variance reports and identify anomalies or discrepancies and ensure timely resolution prior to payroll processing.
- Assist employees to manage their timesheets, clock in and out of shifts, view pay slips, rosters and maintain up-to-date bank details.
Finance Team Support:
- Support lodgement processes for STP, PAYG, superannuation, and Portable Long Service Leave.
- Maintain and reconcile payroll general ledger accounts, including month-end and year-end closing activities.
- Prepare journal entries, accruals, and general ledger account reconciliations.
- Support accounts payable and accounts receivable functions as needed.
- Assist with financial reporting, including the preparation of management accounts and other ad hoc reports.
- Assist with the annual external audit process.
- Provide support to the Head of Finance and other members of the finance team as needed.
What we're looking for:
- Proven experience in similar role with extensive exposure to ELMO, KeyPay or Employment Hero payroll systems.
- Strong analytical skills with high attention to detail and accuracy
- Proven ability to manage time effectively to set and meet deadlines, work effectively under pressure, and prioritise tasks effectively
- Excellent communication and interpersonal skills, with the ability to work effectively in a team.
- Ability to work independently and autonomously without supervision.
- A desire and ability to learn new systems and commit to continuous improvement.
- Excellent problem-solving skills and demonstrated ability to listen and act as the trusted partner.
- Intermediate to advance skills with MicroSoft Office applications (Excel, Word etc.)
- Tertiary degree in Accounting and CPA qualification or currently pursuing CPA studies.
- Ideally experience in a Not-for-Profit environment.
